Attendance Information
Technical sessions of the Directed Energy Systems Symposium will be held at the
Hyatt Regency Monterey Hotel, 1 Old Golf Course Road,
Monterey, California, and at a nearby offsite location within
walking distance. Although a shuttle bus will be available, most
Symposium attendees choose to walk between venues. Private auto access to
the offsite location is greatly restricted, and parking is extremely limited.
Accommodations
The room block negotiated by DEPS at the Hyatt Regency Hotel (the symposium hotel) as well as the overflow rooms at Hotel Del Monte on the grounds of the Naval Postgraduate School have SOLD OUT. If you did not get a room under either of these blocks, we encourage you to secure a room at one of the many other nearby hotels.

Note that the technical sessions of the Systems Symposium have limited participation requirements.

Registration fees include participation in all Symposium sessions for which the attendee qualifies, breakfast snacks(1) and coffee breaks
Tuesday through Friday mornings, lunch Tuesday through Thursday, the evening reception on Tuesday, and a copy of the proceedings.
Short course registrations include all student course materials and Continuous Learning Point (CLP) credits for successful students. Additionally,
morning courses include breakfast snacks, and a box lunch is provided to those attending afternoon courses.
(1) Government registration fee includes everything that the standard registration fees do with the exception
of breakfast. Breakfasts are not included with the government registration; however, they will be available as an additional
separate purchase at $17 each day. If need to purchase these separately, please register first, then contact the DEPS office
to add Government breakfasts to your registration.
(2) Esteemed Leaders are fully retired DEPS members no longer working in the field but have a desire to
keep up with the DEPS community. If this is you and you are willing to volunteer for two half-days of service
during the Symposium, we would love to have you. In exchange for your help in putting on a successful program,
we can offer a reduced rate for your attendance to the overall symposium. Please email

(3) Full time students will be admitted at reduced charge provided they agree to assist DEPS staff
for two half-days of service.
If this condition is not met, students will be required to pay the full registration fee.

Due to capacity limitations at the conference hotel, registration for this event is now closed.
Persons requesting cancellation through 16 October will receive a full refund.
Cancellations after 16 October are subject to a $100 cancellation fee.
No refunds will be given after 10 November.
Companions
Companions are always a welcome addition to any DEPS meeting. To encourage them,
we offer companion meal options at an additional cost. Our full meal option includes all meals that
are provided for regular attendees including any evening and specialty functions that may be planned. For
those companions who do not want to be tied to scheduled meal functions, we also offer a reception only
option which includes only the Tuesday evening reception.

Upon arrival, those checking the "companion information needed" box on the registration will be provided a
welcome packet with information on local points of interest. To assist companions in making plans for their stay,
an onsite specialist will meet with interested parties on the first day of the meeting, providing access,
individually or as a group, to local attractions and/or tours.
Security
The 2023 DEPS DE Systems Symposium will be composed of both classified and unclassified, limited distribution (CUI) sessions.
The highest level of classified information to be presented at the 2023 DE Systems Symposium is SECRET/NOFORN.
Attendance Requirements
Participation in the classified sessions is restricted to U.S. citizens from government, industry and
academia with appropriate security clearances and need-to-know, as well as United Kingdom citizens from
government who have the proper clearances, need-to-know, and have satisfied all facility access
requirements.
Note: Registered companions and exhibit staff who do not attend program sessions do not
have to meet these security requirements.
Note on UK Participation
In accordance with the Information Exchange Agreements (UK-AF-16-0001 and UK-US-19-0001) between the
United States and the United Kingdom governments, employees from the United Kingdom government and their
affiliated contractors are welcome to participate in those CUI and classified sessions that have been
given approval by the presenter's local Foreign Disclosure Officers (FDOs) and/or security officers (for
industry or academia) to ensure releasability in line with export controlled, ITAR, EAR laws and regulations.
U.S. presenters are encouraged to submit their presentations to their FDOs or security officers in a timely manner
for UK approval.
Submitting Visit Requests
Persons wishing to attend the 2023 Systems Symposium should follow the instructions according to your citizenship and the type of sessions you wish to attend.

Please note that classified visit requests, as well as U.K. visit requests, are being handled by our off-site partner and DEPS does not have regular up-to-date information regarding receipt of clearances. We recommend
that you check with your security officer to confirm your clearance has been sent. Once DEPS is provided with the preliminary access list, we will contact
you if we are missing your clearance.
1. Submitting Visit Requests for U.S. Attendance at Classified Sessions
DoD Government/Contractor Instructions:

Please note that classified visit requests for participation in sessions
held at offsite location must be received by NPS no later than 1500 MST Friday, 27 October 2023.
There will be absolutely no exceptions.
Note for those without a CAC needing base access for offsite sessions:
Attendees whose clearances have been received by NPS, but do not have a CAC (Common Access Card) allowing for base access,
must have their security office complete and send in this SECNAV 5512
form no later than 27 Oct 2023.
Please Note: this form requests "SSN" and "DOB"; however, DO NOT INCLUDE
that information on this form. Rather, once the form has been sent, please call 831-656-3124 and provide PII
information directly to Raquel Herold.

**Base access requests must be received no later than 1500 MST on
Friday, 27 October 2023. There will be absolutely no exceptions made for base access after this date.**
**DEPS Staff CANNOT accept these forms or clearances on behalf of NPS. Please DO NOT send them to the DEPS Office.**
2. Submitting Visit Requests for U.S. Attendance at CUI C/D Sessions at the Hotel
To Submit a Visit Request Letter for attending the CUI Sessions at the hotel ONLY, please fax the visit
request letter to DEPS Office 505-998-4917 with the following required information:
- Must be written on company letterhead
- Must state the attendee as a company employee
- Must state the attendee’s citizenship as well as the last four digits of their social security number and date of birth
- Must give a statement that the attendee works on government and/or DoD contracts giving them the need-to-know to participate in the Distribution C and/or D CUI sessions at the DEPS DE Systems Symposium (please provide a contract number along with CAGE code for verification purposes.)
- The letter must then be signed by either the attendee’s security officer, immediate supervisor or program manager who is willing to legally verify the information provided. (Attendees CANNOT sign their own letter).
Please note that any CUI presentations taking place in the classified sessions at
the offsite location WILL REQUIRE A SECURITY CLEARANCE to be submitted via the Visit Requests for Classified
Sessions instructions stated above.
CUI visit requests for hotel sessions must be received by DEPS no
later than 3pm MST on Friday 3 November 2023.

3. U.K. Citizens Visit Requests
UK attendees must send their Foreign Visit Request, including their security clearance information, through their local
embassy, as well as the US embassy in Washington D.C. and include the following information:
